CFBL is looking to recruit a bilingual french/English HR Assistant.

 Start date: April 2023

Contract type: Permanent - full time, 40 hours per week

Line Manager: HR Manager

The Team:

The Human Resources team is responsible for ensuring that College Francais Bilingue de Londres maximises the return on its investment in people. We do this through the development and implementation of policies and practices that attract, reward and retain high quality employees.

The purpose of the HR Assistant role is to assist the HR Manager with the administration of the HR department across all remits of the function. The role will also involve managing ad hoc projects.

Role Responsibilities: 

  • Managing ad-hoc HR projects. 

  • Support the Head of HR in the delivery of HR objectives and the good running of the department. Maintaining employee records and the HRIS 

  • Absence management and supporting with disciplinary cases 

  • Processing leavers and working closely with managers to ensure all areas of the leavers process has been completed 

  • Update MAGE platform for joiners and leavers and assist with the start of term survey

  • Completing employment references for employees. 

  • Processing Criminal Record Check / DBS checks 

  • Managing the right to work checks and visas to ensure we have valid working documents.

  • Assist with monthly payroll 

  • Assist the HR Manager with Employee Relations matters. 

  • Continuously learn the latest HR best practice to improve workplace efficiency.

Recruitment:

  • Schedule interviews 

  • Liaise with agencies and/or direct candidates to provide appropriate feedback 

  • Ensure recruitment data is tracked and retained with the utmost accuracy 

  • Administer the entire employee life cycle process including joiner, transfer and leaver process

  • Take responsibility for the new joiner onboarding and first day induction processes.

  • Manage and monitor the speculative applications inbox

Benefits: 

  • To administer the process of employees joining/leaving benefits 

  • Making sure all contracts / joining forms / sign offs etc are saved 

  • Eventually, manage monthly benefits providers joiners/leavers process 

Learning & Development: 

  • To be the main point of contact for “PFP” and local trainings 

  • Liaise with AEFE and the Finance department regarding annual training campaign

  • To administer the process of employees’ access to the ATENA platform 

Data Management

  • Manage and ensure the data integrity of records in the HR system

  • Provide support for standard and ad hoc reports.

  • Maintain the electronic employee filing system.

Employee Relations

  • Assist with the development and maintenance of human resource policies and procedures.

  • Taking minutes in ER cases or various meetings as required.

Other duties

  • Any other tasks and support required by the HR Manager  

  • Administrative assistance to the Head teacher and his deputies for certain administrative tasks agreed with the HR Manager (on average 1 hour per week)

  • Covering the reception 2 ½ days per week during  lunch  break (on average 2h30 per week)

The knowledge, experience and qualifications you need

  • A wealth of HR Admin/ HR Assistant experience

  • Excellent administrative and organisational skills

  • Strong proficiency in suite of MS Office applications like Word, Excel

  • Attention to details and an acute understanding of the importance of data accuracy

  • Able to multitask and prioritise workload

  • Excellent communication skills (written, verbal, listening)

  • Understanding of operational processes within a school will be ideal

  • Strong team player with a focus on delivering results both on team and individual level

  • Part CIPD qualified or a desire to study

The knowledge, experience and qualifications that will help

  • Knowledge of various HRMS is desirable

  • Knowledge of the French education system
